Ticket Template - Indeed Direct Apply internal activation

 Step 1: Activate the feature in ATS Control
  • Login to ATS Control
  • Admin Login
  • Integrations
  • Direct Apply

 

  • Toggle on Direct Apply Global Switch

 

  • Click on Indeed Direct Apply
  • Within ‘Indeed Direct Apply’ – enable the Indeed Direct Apply Global Switch

 

  • The client ID should already be populated and is standard across all clients.

 

  • Check that the JTURL is correct, and that it is https rather than http

 

Check that the client ID is populated and if not copy this from another client.

 

Activate Direct Apply Template
  • Go to Client
  • Client Configuration
  • Search for variable - feature-direct-apply
  • Edit
  • Toggle ON Load on startup

 

 

Step 2: Add acknowledgement email to communications
  • Settings > Communication > Email Templates > Create Email Template

 

Example email wording

 

Email Template Name: Indeed Direct Apply Acknowledgement email

Subject: Application Submitted

 

 

Dear {CANDIDATES.FIRSTNAME},

 

Thank you for your interest in the role of {JOBS.JOBTITLEFORCANDIDATES} at <<ClientName>>.

 

To view the progress of your application, please click here to create an account.

 

Ensure you add the <<PasswordLink>> merge field (see below steps)

If you are shortlisted or invited to interview, you may be asked to log into our candidate site to answer further questions or book your interview slot.

 

Ensure you add the URL to the login page on the candidate site (see below steps)

 

If you would like to hear about other opportunities with <<ClientName>>, you can click here to register for job alerts.

Add a hyperlink to Create an account page:

Step 3: System Customisation - Acknowledgement Email
  • Settings > System Customisation > Emails > Set Direct Apply Email
  • Add in Direct Apply Email
  • Save

 

Step 4: System Settings > Application Form
  • Go to Settings > Application Templates > Direct Apply Application Form
  • Enable the ‘Request a CV’ toggle

The client can continue to add any other screening questions if they wish.

 

Step 5: Security Roles – Enable Access to Direct Apply Application Form

 

To gain access to the direct apply application form, go to Settings > Security Roles > Select the security role. Go to the Settings tab and toggle on Application Templates: Direct Apply Application Form.

 

For Jobtrain clients just activate it for the HR Superuser Security role as details are in the client user guide.

 

For Jobtrain clients please enable access for the HR Superuser Security role as details are in the Jobtrain client user guide as to how to allow access for others.  For JTGO clients please enable for the HR Superuser Security role – if they want to allow another security role group access to Direct Apply Application forms please flag with Holly as JTGO clients do not have access to Security Roles.

 

Enabling access to ECNI Equal Opps App

This is only relevant for clients utilising the ECNI equal opps functionality

 

Settings tab the Settings tab and toggle on ECNI Equal Opps

 

 

This will control access to:

 

  1. ‘ECNI Equal Opps’ section of the Direct Apply Application form
  2. The toggle Include ECNI Equal Opps on the Assessment Form page when adding/editing a Job.

 

Step 6: Handover to the client

Update the client to advise that the Indeed Direct Apply feature is now live.

I am pleased to confirm Indeed Direct Apply has now been activated on your site.

 

As part of the setup, we have created an Indeed Direct Apply Acknowledgement email which is saved in Settings > Communications > Email templates.

 

You may want to review and amend the wording used here, but please do not remove the links to create an account.

 

Here is a link to the Indeed Direct apply User guide (INSERT LINK) which explains how this feature works and contains details of how to add additional questions to the application form should you wish to.

Step 7 – Update Hubspot

Once the feature is live, then Georgia/CSC to update Hubspot

  • Search for client
  • In the left-hand menu scroll down to the bottom of the page and click View all properties

 

  • In the search bar at the top of the page type in Indeed

 

 

  • Click on Indeed Quick Apply
  • Change this to yes
  • Save

 

Deactivating Indeed Apply

If you are ever asked to switch off Indeed Direct apply for a client do not toggle off Direct Apply Global Switch - instead go into the Indeed direct apply section and switch off in there.

 

Steps:

ATS control > Integrations > Direct Apply > Indeed Direct Apply > Global Switch.

 

 

 

Toggling off Direct Apply Global Switch in Marketplace Integrations will impact on any jobs posted prior to switching the feature off and prevent candidates applying.
