Summary

Enable referees to upload reference documents through the Reference Portal using a feature flag.

 

I want to:

  • Enable or disable referee document upload
  • Understand what changes when the feature is enabled
  • Support client rollout and validation

 

Enable the feature
  1. Go to ATS Control > Configurations > Manage Features
  2. Find Referee Document Upload
  3. Toggle the feature on
  4. Select Save
What happens when enabled

Referee experience:

  • A new Upload Reference option is available in the Reference Portal
  • Referees can upload a document instead of completing the online form

 

Recruiter experience:

  • New icon in Onboarding Hub for referee-uploaded references
  • New field Referee Uploaded On in the candidate record
  • New option in the Actions menu:
    • View Reference Uploaded by Referee

 

System behaviour

  • File validation matches candidate document upload rules
  • Uploading a new file replaces the existing file
  • Reference reminders stop after a document is uploaded
  • Candidate and reference history include a referee upload entry

 

Disable the feature
  1. Go to ATS Control > Configurations > Manage Features
  2. Toggle Referee Document Uploadoff
  3. Select Save

 

When disabled:

  • The Upload Reference option is removed from the Reference Portal
  • No referee upload indicators are shown in the system
  • Existing uploaded documents remain available

 

Validation checks (internal)

After enabling, confirm:

  • Upload Reference option is visible in the Reference Portal
  • Referee can upload and save a document
  • Document is available via Actions menu download
  • Referee Uploaded On field displays in candidate record
  • Onboarding Hub icon displays correctly
  • Candidate history logs:
    • “Reference document uploaded by referee”
  • Reference reminders are not triggered after upload

 

Best practice
  • Enable in test first for client validation
  • Confirm behaviour across:
    • Referee portal
    • Candidate record
    • Onboarding Hub
  • Notify client before enabling in Live to avoid confusion
