Resident Deanery Doctors Recruitment

 Introduction

Jobtrain recognises that NHS Trusts may wish to bring their Resident Deanery Doctor data from their TIS software into their Jobtrain ATS to facilitate quicker recruitment and efficient administration. This guide gives an overview of how Jobtrain caters for this, and the benefits.

This guide provides more information about what to do within the ATS to facilitate this:

Preparation

Before importing the data from TIS, think about the process in your ATS, and the configuration.

Application Forms

  • Will you use your generic application form, or have one specific to Resident Deanery Doctors?
  • If the latter, create this before creating your job(s) record.
  • The import will cater for name and email address only to help you commence the record. The candidates (the Resident Doctors) will need to complete any additional data. This can be done by either:
  • Will you import candidate data in multiple job records one by one?
  • Or, will it will be easier to import to one ‘master’ job record, then reassign candidates to other job records thereafter?

Job Records

Process Workflow

  • If you intend to use two stage applications, does your workflow have the relevant statuses activated, and do you or your colleagues have permissions enabled to move candidates to – and see candidates within - these statues?
  • If you intend to reassign candidates between jobs, what will be the status they are at when you move them, and what status will you move them to in the new job record?
  • Will you benefit from more upfront screening, shortlisting and even interviewing in one ‘master job record’ before reassigning them to other specific job records, perhaps for example for the offer to proceed and be pushed into EST?
  • Or will you reassign from the master job record as soon as their application is complete, so that all selection and offer processes can be handled within the specific job record?
  • Remember – if you intend to push the hired candidate into ESR against a specific position number, then by that point they will need to have been reassigned into a specific job record with an ESR position number.

Importing from TIS

When you are set up, know your intended process, follow these steps in this guide to importing candidate data.
