            Use stage filter cards to quickly view jobs by recruitment stage.

             

            Interactive job filter cards - a faster, smarter way to manage jobs

             

            Use the new stage filter cards on the List of Jobs page to quickly find jobs in Draft, Approval, Advertised, Shortlisting, Interviewing or Offer stages.

            How to filter jobs by stage (for recruiters, managers)

            1. Go to Jobs from the top navigation menu.
            2. At the top of the List of Jobs page, review the stage cards (e.g. Draft, Interviewing, Offer Stage).
            3. Select a stage card to filter jobs that match that recruitment stage.
              Note:
            • Only jobs you have permission to view will be included.
            • The selected card turns orange and shows the number of matching jobs.
            • The job list below updates instantly to show only jobs in that stage. 

             

            Understand what each stage card means

             

            Tables can't be imported directly. Please insert an image of your table which can be found here.

            Card name

            What it includes

            Draft

            Jobs saved as drafts or not yet submitted for approval.

            Job Approval

            Jobs waiting for approval or recently approved.

            Advertised

            Live, advertised jobs.

            Shortlisting

            At least one applicant is in a shortlisting status.

            Interviewing

            At least one applicant is in an interviewing status.

            Offer Stage

            At least one applicant is in an offer stage status.


            Jobs can appear in more than one stage card.

            How to review and update which stage an application status belongs to

            Recruitment stage filters on the Candidate Listing and Job List pages are powered by the "Recruitment Phase" setting assigned to each Application Status.


            Update a status’s recruitment phase


            For Superuser / Jobtrain Administrator's only

            1. In Settings > Application Statuses, select Edit next to the status.
            2. Use the Recruitment Phase dropdown to assign the correct stage.
            3. Select Save.

            Changes apply immediately to filters and stage card logic:

            Why don’t I see any jobs under a stage card?

            You’ll only see jobs that match that recruitment stage and that you have permission to view. Try checking other stages or confirming your job access with your recruiter.

             

            Why is a job not appearing in the expected stage?

            Each application status is linked to a recruitment phase. If no candidates are in a status assigned to that stage, the job won’t appear in that filter.

             

            Who updates which statuses belong to each stage?

            Superusers / Jobtrain Administrators manage this setting. They can assign recruitment phases to each application status in Settings > Application Statuses.

             

            Can I filter by multiple stages at once?

            No. The stage filter cards show one stage at a time. To view jobs in another stage, select a different card.


            How do I remove a selected filter?
            To de-select a stage filter, simply select the same filter card again. This will remove the filter and return you to your default List of Jobs view.

             

            What does it mean when a stage card says “0”?

            It means there are no jobs currently in that stage (based on your access and the current application statuses).

             

            Why is the same job appearing in more than one stage?

            If a job has applicants in multiple statuses across different stages (e.g. some in Shortlisting, some in Interview), it may appear in multiple filters depending on your system rules.

             

            What is the default display when the List of Jobs page loads?

            By default, the List of Jobs page shows jobs based on the default job statuses assigned to your Security Role.

             

            Superusers / Jobtrain Admins can update these defaults in:
            Settings > Security Roles > Job Statuses > Default

             

            You can still use Search Jobs to find jobs that aren’t included in the default view.
