Dashboard widget reference guide

Understand what each dashboard widget shows, so you can choose the right ones when building a dashboard or adding to your own.

This guide explains what each dashboard widget shows, what you can use it for, and any configuration options available, so you can choose the right widgets when building or reviewing dashboards.

Data refresh: Most dashboard widgets refresh overnight rather than in real time. If a job or candidate status has just changed, it may not appear in a widget until the next overnight refresh.

Anonymisation: Dashboard widgets do not support anonymisation. Anonymisation set up in Security Roles does not apply here, so any widget that lists candidates always shows their names in full.

 Job management

These widgets help you track the status of live roles, monitor approval queues and stay on top of closing deadlines before a vacancy is open to candidates.

Job status changes

Displays the last 10 jobs updated to your configured job status.

  • Use this widget to track job workflow and monitor progress across your area.
  • Use this widget to track closing deadlines. This is particularly useful for volume hiring teams managing many live roles.
  • Use this widget to keep job approval queues visible and prevent vacancies sitting unnoticed in an authorisation workflow.

Jobs closing

Displays up to 30 jobs, either those due to close within the next 7 or 14 days, or those that closed within the last 7 or 14 days.

Awaiting job authorisation

Displays the 10 jobs that have been waiting for approval the longest.

Pipeline and applications

These widgets give you visibility of candidate volumes, movement and distribution across your recruitment pipeline, from the point of application through to offer.

Candidates per stage (bar chart)

Displays a bar chart showing the total number of candidates at each application status you select.

  • Use this widget to compare candidate volumes across multiple pipeline stages at once.
  • Select up to 9 statuses to display.
  • Use this widget to track where candidates are building up or dropping off in your pipeline.
  • Select up to 5 statuses to display.
  • Use this widget to get a quick overview of candidate volumes without navigating to reports.

Recruitment funnel

Displays a funnel showing the total number of candidates at each application status you select.

Applications by status

Displays a single total count of candidates currently at your configured status.

Note: Selecting this widget opens Search, filtered to that status. If this widget is assigned to a role that doesn't have access to Search, typically managers and anyone with anonymisation enabled, they'll see an access denied message. 

Bottleneck report

Provides a visual overview of where candidates are stalling in your recruitment process.

  • Use this widget to identify problem stages or delays.
  • Select up to 5 statuses to display.
  • Use this widget to monitor key pipeline stages, for example to see who has just reached offer stage.

Candidate status changes

Shows the last 10 candidates moved to your configured application status.

Interviews

These widgets help you and your team manage interview scheduling, track responses and follow up after interviews have taken place.

Interviews

Displays candidates with either upcoming interviews or past interviews within a selected time window.

  • Use this widget to prepare for interviews or follow up afterwards to check whether post-interview steps have been completed.
  • Choose to display upcoming interviews or past interviews within 7 or 14 days.
  • Choose to display candidates for jobs where you've been selected in job access, or jobs where you are a selected interviewer.

Interviews booked

Displays the last 10 candidates to book an interview via the self-service method.

  • Use this widget to get a quick view of the most recent self-service bookings without navigating into individual job records.
  • Choose to display candidates for jobs where you've been selected in job access, or jobs where you are a selected interviewer

Interview accepted/not answered

Displays the last 10 candidates who have accepted, declined or not responded to manual interview invites.

  • Use this widget to track acceptance rates, follow up on declines and reduce missed interviews or no-shows.
  • Choose to display candidates for jobs where you've been selected in job access, or jobs where you are a selected interviewer.

Offers

This widget helps you keep offer approvals moving so candidate start dates are not delayed.

Awaiting offer authorisation

Displays the 10 candidates whose offers have been waiting for approval the longest.

  • Use this widget to ensure offer approvals do not delay a candidate's start date.
  • Choose to display candidates for jobs where you've been selected in job access, or jobs where you are the approver.

Onboarding and compliance

These widgets support onboarding teams in tracking candidates through post-offer stages, managing compliance requirements and ensuring new starters are not held up before their start date.

Onboarding sub-status changes

Displays the last 10 candidates to move to your configured onboarding sub-status within the Onboarding Hub.

  • Use this widget to track candidates through specific onboarding stages.
  • Choose to display candidates for jobs where you've been selected in job access, or where you are a selected onboarding, compliance or reference admin owner.

Onboarding queries

Displays a single total count of candidates with open onboarding and/or compliance queries.

References received total

Displays a single total of online references that have been received but not yet marked as complete.

  • Use this widget to see how many references are waiting to be reviewed. This is particularly useful where references are critical before a start date.
  • Choose to display candidates for jobs where you've been selected in job access, or where you are a selected reference admin owner.

Compliance complete

Displays a single total count of candidates who have completed all their compliance items but have not yet been marked as complete.

  • Use this widget to prevent compliance sign-off becoming a bottleneck.
  • Choose to display candidates for jobs where you've been selected in job access, or where you are a selected compliance admin owner.

Onboarding complete

Displays a single total count of candidates who have completed all of their onboarding items but have not yet been marked as complete.

  • Use this widget to ensure new starters are not held at the final stage.
  • Choose to display candidates for jobs where you've been selected in job access, or where you are a selected onboarding admin owner.

Reporting and insights

These widgets provide analytical and performance data across your recruitment activity. They are particularly useful for managers and superusers building dashboards for senior stakeholders or teams who need to track trends and measure efficiency.

Candidate source report

Shows where your candidates are coming from, for example Indeed or social media channels.

  • Use this widget to measure which sources are driving the most applicants.

Diversity report

Displays pie charts showing the ethnicity and/or gender breakdown of your active candidates.

  • Use this widget to view a snapshot of candidate diversity without navigating to the reports area.

Note: This widget displays diversity data. Consider carefully which roles you assign it to, as anyone on that role will see it on their dashboard.

Time to hire/approve

Shows the average number of days taken to hire candidates or approve a job.

  • Use this widget to monitor hiring efficiency across your recruitment timeline.

Active applications over time

Displays a line chart showing the total number of active applications counted at the end of each day.

  • Use this widget to spot application volume trends, such as peaks after a campaign, seasonal patterns or the impact of a new job board.

Changes in total applications over time

Displays a bar chart comparing the number of applications per week against the previous week, showing the percentage change.

  • Use this widget to identify momentum shifts, spotting spikes or dips in application volumes to highlight recruitment trends.

Calendar and communication 

These widgets will help you and your team manage day-to-day actions, track interview schedules and stay on top of communications 

Calendar

Displays a monthly calendar showing all upcoming interviews. Both self-service and manual interview events are displayed.

  • Use this widget to see upcoming interviews at a glance and manage your diary.

Calendar (Corporate)

Displays shared interviews and events in your shared corporate calendar linked to Jobtrain.

  • Use this widget to keep your shared diary visible on the dashboard.
  • Only available if Email & Calendar integration is activated.

Emails (Corporate)

Displays the latest emails in your shared corporate inbox linked to Jobtrain.

  • Use this widget to keep your inbox visible without leaving the dashboard.
  • Only available if Email & Calendar integration is activated without leaving the dashboard.

    To do list

    A personal task list for you to manage your own actions in Jobtrain.

     FAQs

    Can I restrict who has access to this functionality?

    Absolutely. As with most areas of Jobtrain, this functionality can be restricted in Security Roles. If you need support updating access using Security Roles, please contact Jobtrain's Support Team who will be happy to help.

    Why doesn't a widget reflect a change I just made?

    Most dashboard widgets refresh overnight rather than in real time, so a status change made today may not appear in a widget until the next overnight refresh.

    Can I hide candidate names on dashboard widgets?

    No. Anonymisation set up in Security Roles does not apply to dashboard widgets, so any widget that lists candidates, for example Candidate status changes or Interviews, always shows their names in full.

    Why is a candidate's name showing even though anonymisation should be hiding it?

    This can happen with the Applications by status widget, since selecting it opens Search. Search shows every job a candidate has applied for, so if one application is past the anonymisation point, their name is revealed everywhere, including on earlier-stage applications such as New Application or Hiring Manager Review.
