            These release notes detail the key Jobtrain system changes related to Assessment Forms.


            Please note: These changes will be live in your Jobtrain platform from 11th September 2025.

             

            Key new features and enhancements

            We’ve introduced a range of updates to make Assessment Forms and related tools more flexible, efficient and user-friendly.

             

            Please also take note of and review the Important changes to be aware of section 

             

            Key new features

            • Randomised question order – Option to present questions in a random order for each candidate (assessment forms only).
            • Branching questions – Create adaptive forms where the next question depends on a candidate’s answer.
            • Optional questions – Make selected questions optional instead of mandatory.
            • Job type tagging – Group questions by job type (e.g. Finance, Customer Service) and assign multiple tags for better organisation and filtering.
            • Archived content management – Archive assessment forms, application forms, Question Bank questions and custom fields to prevent future use while keeping them available for reporting and reference. Easily view, restore or manage archived items from dedicated pages.
            • Quick form insights – Instantly see if a form is in use, preview its content without opening it and filter by form or job type.
            • Auto-save editing – Changes are saved automatically as you work, removing the need for repeated manual saves.
            • New question type
              • Rating questions – A new question type is now available, allowing responses on a 1–5 or 1–10 scale using stars or numbers, with optional end-point labels (up to 20 characters).
            • Expanded pass/fail automation – Now also supports Panel Shortlisting Forms (both external and internal), in addition to existing compatibility with Pre-Assessment (Killer Question) and Assessment Form A.

             

            Improvements

            • Order of importance questions - The correct order is set during the creation process, simply by arranging the options (no numbering required). It requires at least three options, which can be reordered by drag-and-drop in the form builder. The candidate view always presents the items in a random order.
            • Choice questions – New controls for configuring the number of selectable options in multiple-choice questions (no limit / exactly / up to). Additionally, an option to display choices as a dropdown menu for single-choice selections.
            • Enhanced scoring – Assessment forms now automatically calculate the maximum points for each question, the total possible score for the form, and a new Pass Marks % field (based on the pass mark you set). This removes the need for manual calculations and reduces the risk of error. All values are copied to any jobs using the form but can be adjusted at job level if required.
            • Question Bank filtering – Filter questions by type, job type or assessment type for faster selection.
            • Preview experience –Preview now matches the live candidate view for an accurate review before publishing.
            • Shortlisting enhancements – The shortlisting eye icon is now colour-coded to show progress, with a hover-over explanation for each icon.
            • Consistent terminology – “Application Templates” are now called “Application Forms” across the system for clarity.
            • Pass/Fail automation – Automatically applies pass/fail logic from the assessment form to the job, saving configuration time.
            • Job setup improvements – Clearer steps when adding pre-assessment forms and instant previews for application and assessment forms.
            • Candidate record updates – View both a candidate’s score and the total possible points, with improved response formatting for clarity.

            Important changes to be aware of

            To ensure smooth use of the updated functionality, please note the following changes:

            • Shortlisting maximum scores – The maximum score for any shortlisting form question is now capped at 25.
            • Text question limits – All text-based assessment questions and custom fields now have a word limit of 1,000 words.
            • Matrix questions – Now limited to six columns to ensure they display clearly and remain accessible for candidates applying on mobile devices. Matrix questions can no longer be scored.

             

            These updates give you greater control over assessments, reduce admin time and create a more consistent candidate experience.
